Within this page we explain how we approach Establishing a Programme Office The Fletcher Heath approach is to establish a programme office quickly and effectively. As with all projects, this depends on starting the project with a defined scope and clear objectives that have been developed in co-operation with the responsible executive. We then initiate the programme office by tailoring our templates, procedures and processes to suit the particular requirements of the individual client. We do not produce shelves of documents explaining how projects should be run and how reporting processes ought to be carried out. It is our intention to put standard and consistent reports in place that provide executives with enough visibility, control and assurance that projects are proceeding as planned, that issues are being escalated and that, where necessary, corrective action is taking place. Our methods are compatible with PRINCE and with other recognised project management methodologies and our approach is to use our own experience as programme and project managers to win over client managers. Having established the programme office we can either remain on site to operate it or carry out a skills transfer to ensure that the client's resources are adequately trained to continue the operation. If required, we can return to site from time to time to carry out an independent assurance audit to ensure that the programme office continues to operate effectively. A programme office need not take an inordinate amount of time and cost to establish. A set of ready-prepared templates, previous successful experience and an inclusive approach to both management and the projects all ensure that the programme office rapidly becomes an effective element in monitoring progress, escalating issues and minimising risks. Once established, the programme office can then also help share 'best practices' across a number of programmes. |

We will establish a standard set of reports that provide executives with visibility on the progress of programmes and projects while also highlighting achievements, business critical issues and risks. The reports will be coordinated with the executive reporting cycles and will incorporate the technical, cost, and resource aspects of all projects. Progress of each project will be monitored around agreed milestones, key issues and risks will be highlighted and budget and financial progress will be monitored. The projects may be colour coded against an agreed set of criteria to indicate their current status allowing a large number of projects to be summarised with their critical issues highlighted. Our objective is to develop and implement a reporting mechanism that is compact yet effective, that is not onerous for either the projects or the programme office and thereby wins the support of both the projects and senior management. |
